Committee meeting began at 6:40 p.m. with Ellen welcoming everyone.

 

Account Balance as of 8/13/12 is $2676.85.  A withdrawal of $20 for the class website occurred.

 

Invitations

Kathy did some research into invitations and designed one from a company with our colors of blue and red.  This invitation costs $1.07 per invite and the RSVP card is $.99 each.  You have to order at least 250 or 500 no other quantities available.

 

Also, Kathy sent some suggestions from another company and the group reviewed these and liked the Texas A&M invitation which all folded together.  The only down side to this is we would need to provide an envelope so when an RSVP is sent back they can include a check.  Ellen will work with Kathy about getting a cost of this invitation with our school colors blue and red.

 

There was some concern about postage that we can talk about at our next meeting.

 

Also, when we decide on which invitation we can do a vote at the meeting as well as via email if not enough of the committee is present.

 

Other thoughts were after someone send in a check Denise could send out an electronic ticket that states this is there admittance to the reunion otherwise they won’t be admitted.  Ellen will design something for Denise to send out.  Need to make sure we ask for the email addresses.   Ellen mentioned hiring someone to make sure that individuals who haven’t paid are not admitted to the reunion.  The committee can talk about this more next year.

 

Name badges were mentioned and decided they probably would be a good idea since it has been 20 years.

 

Shawn Woodhouse Music

Shawn said that he can provide any time of music we want to hear.  The thought is to play some from the early 90’s and some of today’s dance music.  Whatever we think is best he will do.

 

Update on Friendly’s

Katoora hasn’t got any further on this and plans on calling Lebanon High and asking for the tax ID number.  Then she will contact Friendly’s and schedule this.

Merchandiser/Newspaper

Ellen discussed the timing of placing an ad in both the Merchandiser and the Lebanon Daily news about missing classmates.  Stasia volunteered to find out the pricing then we can determine what we want to do next.

 

People Smart

Ellen subscribed to this program to find some of the individuals that we don’t have addresses for.  She thought that maybe Stasia and Denise could help search the list and see what addresses we have and which ones need to be updated.  She will divide the list and send the password and username to Denise and Stasia.  Also, Ellen will expense the cost of subscribing which was $35 for the year.

 

PO Box

Ellen discussed the price of a PO Box in Cleona for 6 months ($32) and the committee members agreed that we should do it.   Ellen will take care of this when it is time in 2013.

 

Fundraisers

Our Fundraiser for this meeting is R&K subs $6 each and pretzel sandwiches for $5.  We will need all order forms back by October 1 and pick-up is October 10 from 4-6 p.m. at Ellen’s house.  No checks will be accepted only cash.  Any questions contact Ellen.

 

Schedule signing of contract Fort Indiantown Gap

Ellen will schedule a time at the beginning of October to provide a $200 deposit and sign the contract.

Committee meeting began at 10:05 a.m. with Ellen welcoming everyone.

Venue

Ellen and Janell visited the Community Club at the Fort Indiantown Gap and were impressed by the space.  They mentioned that the bar was redone and they would recommend us using that bar instead of having one in our banquet room.  However we should probably purchase a keg and then after it is gone it becomes a cash bar.   The committee reviewed the contract and had the following questions:  what is the amount of the deposit and why do we need to specify a credit card.  Otherwise the contract looked fine.  Ellen reminded the committee that she will add into the contract about using our own DJ.

 

The committee agreed that this will be the location of the 20th Reunion on September 21, 2013 from 5 -10 p.m.

 

Ellen, Denise and Stasia will visit the Community Club on July 14 at 10 a.m. to go over the details and sign the contact.  Ellen will sent up this meeting with her contact.

 

Fundraisers

 

  1. Friendly’s Fundraiser – it was decided that this fundraiser was postponed until Katoora could figure out whether or not we need a tax form completed.  If it is the case we probably won’t do this fundraiser.  Katoora will let us know what she finds out.
  2. NYC Bus Trip – The committee talked about holding a bus trip in the fall and decided to table this until early in 2013.  The concern was over the fees that we would incur if the bus was not filled.  The committee thought it would be better to plan this event a little more prior to scheduling it.  The committee thought when we do decide to offer a bus trip we will require a deposit from each person interested.  If we don’t receive enough interest we will decide to cancel.  Most bus companies allow you to hold a date and then you must sign a contract and give a deposit within a few weeks.  That is when we will require the deposit by.
  3. Next Fundraiser – it was decided that we would not have a fundraiser over the summer but the next time we meet we plan to sell subs from R&K.

 

Discussion on Expenses

The committee discussed what other expenses we will incur prior to the reunion.   We know that the DJ is $250 and that we can use the decorations from the Community Club.  So that leaves us looking into invitations.  Kathy recommended using Vista Print.  She thought they might be less expensive and agreed to figure out what the cost of these would be.  She will also be in charge of creating the invitations.  So the other costs associated with these are postage and labels.    Other costs are Ellen will open a PO Box where the responses will be received, that will cost probably $30-$40.   Lastly, Janell makes cakes and she has agreed to provide one.  She will let us know the cost closer to the time we know how many people are coming.

 

Other Discussions

The committee started to think about how much tickets would be and their initial thoughts are $25 per person or $40 per couple.  That should cover our costs for the meal and provide a few dollars extra per ticket.  We will review this more after we sign the contract and figure out the actual cost per person for the dinner.

 

Also, it was discussed about offering raffles during the reunion and Ellen mentioned that Cathy Kreider would like to provide an item like she did it before.    Also, Ellen thought we could put together three or four other items.  The thought was to do the raffle for a specified time frame so that no one had to sit at a table all night and sell tickets.  This is a great money maker.   We will talk about this further as we get closer to the reunion.

 

Next meeting is scheduled for Saturday, September 15 at 6:30 p.m. at Ellen’s House.

NYC Bus Trip Poll

We are doing a poll for a possible trip to NYC. Depending on the poll outcome we will decide whether to do this fundraiser. The details are as follows.

The trip would cost $40.00 a person

We would need to fill the entire bus with 52 passengers.

7 Hours  in NYC to do what you want.

The poll is on facebook and below is the link. Agree if you would go on the trip, Disagree if you would not. Then comment on which day best suits you Friday Saturday or Sunday.

No date has been set. We will decide at the next Reunion meeting if we will go ahead with the trip.

3/24/12 Committee Meeting Minutes

Committee meeting began at 6:08 p.m. with Ellen welcoming everyone.

The committee reviewed minutes from 11/5/11.

Account Balance as of 3/23/12 is $2300.25. There were a few withdrawals for printing/driving to get fundraisers.

Venue’s
1. Fort Indiantown Gap – Ellen spoke with the lady and scheduled a meeting to see the venue on April 21 at Noon. She asked that committee members interested in coming should meet at her house at 11:30. Katoora and Stasia said they would be available. She further mentioned that the venue would have no room rental fee plus the contact would decorate for us. The only issue could be with the DJ and Ellen will talk to the contact further about this. Denise and Shawn asked to see the contract before anyone signs it. Both want to make sure there aren’t any hidden charges. Ellen will follow up with Denise and Shawn after the meeting. There were a few questions that should be asked at the meeting:
a. Does the group have to clean up and set up or is that taken care of by the venue?
b. How much would it cost for a bartender in the room?
c. Individuals who are not part of our group, would they be allowed to come into our room?
d. Discussion about the DJ.
2. Hebron Fire Hall – this would be the second choice of the group. They will charge $400 meeting rental for four hours and $25 Bartender fee. They don’t have a minimum number of people.
3. Another option might be a different venue on Fort Indiantown Gap. Ellen will look into that.

Fundraisers
1. Candy Place – Ellen found a place that charges $5 for a bag of candy, nuts, chocolate, etc. Then she further explained that each bag sold could have a profit from $1.80- $3.80. The group agreed that this was a good idea for a sale and decided to sell the following products:
a. Mini Red Fish – Profit $3.50
b. Mini Chocolate Pretzels – Profit $3.80
c. Gummi Bears – Profit $3.25
d. Sunflower Seeds – Profit $3.30
e. Caramel Creams – Profit $3.70
f. Sweet Temptations – Profit $2.00
g. Fiesta Sunshine – Profit $2.75
h. Banana Chips – Profit $3.50
Ellen will contact the company on Monday and set up the sale that will start the week of April 2 and end April 23. All money and order forms are due to Ellen by April 22. The tentative pick-up date is Thursday, April 26 from 3-8 p.m. at Ellen’s house. The committee asked that the orders be separated per seller.  Ellen found out after the meeting that these will not be separated so she will have to do that when the order is ready
2. Friendly’s Fundraiser – Katoora explained that she talked to someone at Friendly’s and that the fundraiser has to occur from Mon-Thurs. She also found that we have to hand out vouchers to receive 20% of each order. The lady also mentioned that Wednesday nights are not good since the kids’ meals are less expensive. Maybe do it on a Thursday since some receive their paychecks that day. The committee decided to move forward with this fundraiser for Thursday, June 28 and Katoora will set it up and let us know what to do next.
3. NYC Bus Trip – Denise talked with D.B. Fisher and found out that you have to charter a 52 passenger bus for $1400. To make this profitable they suggested that the group charge at least $40. The committee was concerned whether or not people would do this. Ellen suggested polling the Facebook page and see if anyone would be interested and if they would pay $40 to go on a bus trip. Denise also asked to Ellen is she could see poll what day of the week is better – Friday, Saturday or Sunday. Janell and Ellen will work on this.

Reunion Committee Cuts
Ellen mentioned that there were some listed on the website that haven’t been involved in the committee. She asked that the committee decide whether these individuals should be cut from the committee. The committee agreed that Tiffany Moody and Addie Whitman McCauley would no longer be listed as committee members. Ellen will send an email to Shawn with these names to be taken off the website.

Reunion Website
A few of the committee members asked if they could change their pictures and Ellen said sure. She asked that you send updated pictures to her and she will forward to Shawn to make these changes.

Other Discussions
It was determined that Ellen has to contact everyone to find out if they are attending the meetings and helping with the fundraisers. Since this was taking up so much of her time, the committee agreed to delegate some of the responsibilities. Denise will send out an email to the committee members reminding them of the meeting and asking whether or not they plan on attending. Janell will update Facebook. Ellen will send Denise the email addresses of the committee members and will add Janell as an administrator to the Facebook page.

Next meeting is scheduled for Saturday, June 23 at 10 a.m. at Ellen’s House.

Blue mountain Candle Fundraiser

We had our Blue Mountain Candle Fundraiser Itended on 12/6/11 The profit made on this fundraiser was $657.00. They did not accept our Tax exempt form because it was not PA it was federal. Therefore we had to pay sales tax.

Alyssa Hernandez and Michael Leddick moved out of the area but will still continue in the committee through fundraising

Review of minutes from last meeting. We had narrowed the places for the reunion to Lantern Lodge and Holiday Inn Grantville and the Hershey Auto Museum.

Denise Ott and I went to visit the Lantern Lodge and we were impressed but the fact that we would have to have a minimum of 125 people turned us off to the idea of having it there. We could potentially lose a lot of money with this if only 75 people showed up. The Hershey Auto Museum Shawn Woodhouse was looking into getting a better price for. That idea did not pan out and the Museum was just too expensive. Holiday Inn in Grantville after many attempts never got back to us.

Account balance: I made a withdrawal from the account for $50.00 for printing materials and Ink. I also made a deposit for $100.00 from the Avon sale. Our Balance as of 11/5/11 is $1744.00.

The new list of venues we are looking into are

  2. The Timbers
  3. The Community Club (former NCO Club) Fort Indiantown Gap
  4. American Legion
  5. Mount Zion

I will be getting information to all Committee members and we will take a vote VIA our next meeting or by email.

New class list updated and given to committee members We are still trying to locate approx. 90 Students. Missing student list is updated on our official website www.lhsclassof93.com if anyone knows how to get a hold of these people let one of us know.

Janell Tropasso had some questions regarding the invites for the reunion. Some people were apprehensive about giving their addresses out. If anyone would like their address marked private I am willing to do this that way I will be the only one seeing the information. The school will not be updated and the committee will only see private on their list. I was asked to do this with some people already and it is working out good.  She brought up doing invites through Facebook. There are some concerns with doing it this way which will be explained in the votes part.

Fundraisers

We had three candle companies, one coffee/cocoa company, and two cookie dough companies to choose from for fundraising Stasia Miller brought information for a Sheetz book which will be considered in the future. Chris Knott had a Friendly’s Night in mind which gives 10% for every patron that eats at Friendly’s. No coupons just walk in and eat. Katoora Rohrer is looking into setting a date and get more info for end of March early April 2012.

Votes

We voted in Blue Mountain Candles as our fundraiser this time around. They are 26 oz double wicked double scented candles. There are 200 scents to choose from We are asking $15.00 per candle. The sale will run from 11/5/11 to 12/2/11 orders and money due no later than 12/2/11 so the candles will be delivered by Christmas. If you are interested in buying a candle or selling for us We could use all the help we can get in order to have a nice reunion for 2013. Please consider buying or selling If you want to buy see any one of our committee members. If you want to sell please see me either by FB IM or Email I will get you all the information you need. There are some people who are not part of the committee contributing and it is so great to see.

We Voted in Facebook invites AND mailing invites We WILL NOT be selling tickets at the door therefore you will have to pre pay for your tickets. This is the concern with a Facebook invite only.  How would we get the money? The other problem is maybe votes will not be accepted because of the cost of the meal we need an accurate number.  If you do not have a ticket there will not be an opportunity to get one at the door. This is so everyone has a good time and can enjoy the reunion. Last reunion people sat and took money through the entire reunion and it was not enjoyable. We will have a ticket taker who will not be responsible for money just collecting tickets.

Our next reunion committee meeting will be held September 18, 2011 from 3pm to 4:30pm at the Lebanon VA Medical Center, Building 22, room 216. Main topic will be location for reunion and taking action on reserving our spot for September 21, 2013. Our next fundraiser will be handed out. We are still trying to find many addresses.
